Key working relationships:

  • work closely with the physiotherapy team leader, administration staff and clinical staff to ensure efficient delivery of service to patients
  • liaise effectively and in an appropriate professional manner at all times with members of the public and other health care professionals/staff


Main duties:

  • ensure the provision of an efficient and confidential administrative service to the MSK physiotherapy service
  • undertake reception duties including dealing with phone enquiries, sorting post, scheduling of new and follow up appointments on a computerised system (Rio), and scanning of appropriate records
  • assist the band 2 and 3 administrators in capacity management, helping with the day-to-day management of appointment bookings, rescheduling appointments where appropriate
  • completing identified Rio tasks, and e-mail accounts on a daily basis
  • adhere to all office SOPs and guidelines to ensure the reception office operates in a smooth and efficient manner
  • show initiative when responding to and assisting in resolving a wide range of complex queries from external and internal agencies
  • administrative duties including scanning, photocopying, filing, sending faxes, sorting mail, organising meetings and taking messages for clinical staff, maintaining adequate supplies of clinically related forms, distribution of letters to GPs/patients, printing of patient information labels
  • support others in the use of Rio for data quality, patient booking, and maintenance of clinical records
  • support any new initiatives that involves office processes and support the physiotherapy team leader
  • input patient referrals onto the department database system (Rio)
  • undertake any other duties appropriate to the role as required by the physiotherapy team leader

Requirements and prospects

  • previous administrative work experience or work dealing with people
  • competent to process basic clerical tasks, accurately following instructions

  • a track record of high levels of attendance and punctuality
  • ability to work with limited supervision, but seek advice when appropriate

Desired qualifications

GCSE (or equivalent) grade C/4 or above in English and maths is preferred but not essential.
